Swaraj Coaching Institute, Indore, a proprietorship concern owned by Dr. Pradeep Patidar (“Swaraj Coaching Institute”, “Institute”, “we”, “us” or “our”), respects the privacy of students, parents/guardians, prospective students, website visitors and users of our educational services.
This Privacy Policy explains how we collect, use, store, protect, share and delete personal data when a person visits our website, submits an enquiry, registers or applies for admission, joins a course or batch, attends classes, uses our website or mobile application, makes a payment, participates in a test or counselling activity, or communicates with us.
This Policy should be read together with our Terms and Conditions, applicable Refund Policy, admission form and any specific consent notice presented at the time personal data is collected.

For the personal data processed for Institute purposes, Swaraj Coaching Institute determines why and how such data is processed and acts as the responsible data-handling entity under applicable law.
2. Scope
This Policy applies to personal data collected through:
- Online and offline enquiries, registrations and admission forms;
- Our website and Institute-branded application powered by Classplus;
- Classes, tests, examinations, counselling and other academic activities;
- Attendance systems, including fingerprint and facial attendance systems;
- CCTV systems located at Institute premises;
- Recorded classes, events and educational sessions;
- Calls, WhatsApp, SMS, email, Telegram, app chat and notifications;
- Payments, fee records and third-party payment services;
- Schools or institutions participating in an authorised educational programme; and
- Other lawful interactions with the Institute.
This Policy applies to digital personal data and to information initially collected in physical form when it is subsequently digitised.
3. Personal Data We Collect
Depending on the service used, we may collect the following categories of data.
3.1 Student and Contact Information
- Full name;
- Mobile number and email address;
- Residential address;
- Date of birth and age;
- Photograph and signature;
- School/college name and current class/standard;
- Course, batch and medium details;
- Enquiry, registration and admission information; and
- Other information voluntarily submitted for an educational or administrative purpose.
3.2 Parent or Guardian Information
For students below 18 years of age, we may collect:
- Parent/guardian name;
- Mobile number and other contact details;
- Address, occupation and relationship with the student;
- Signature and identity proof;
- Information necessary to verify that the person providing consent is an adult parent or lawful guardian; and
- Consents and declarations relating to the minor student.
3.3 Academic, Examination and Counselling Information
We may collect:
- Attendance and academic progress;
- Tests, examinations, marks, scores, ranks and results;
- Exam or application form details;
- Counselling choices and records;
- Scholarship-related details; and
- Category/caste information, only where reasonably necessary for examination forms, counselling, scholarships, student records, seat eligibility or applicable reservation/seat criteria.
Category/caste information will not be used for unrelated advertising or discriminatory treatment.
3.4 Identity Verification Documents, Including Aadhaar
We may request an identity document to verify a student or parent/guardian. Aadhaar is not the only acceptable identity document. A school ID, birth certificate or another valid identity document may be accepted where appropriate.
Where Aadhaar is voluntarily submitted:
- Separate consent will be obtained for collecting and using the document for identity/admission verification;
- The Institute will not retain an unmasked full Aadhaar copy;
- If a full Aadhaar photocopy is received, the first eight digits will be redacted/masked before storage;
- Only a masked copy or data reasonably necessary for verification will be retained;
- Aadhaar will not be used for an unrelated purpose or shared except with consent or where legally required;
- The masked copy will ordinarily be destroyed or securely deleted within 30 days after course completion, unless temporary retention is necessary for a pending dispute, fraud/security investigation or compliance with law; and
- Refusing or being unable to provide Aadhaar will not by itself result in denial of admission where a viable alternative identity document is provided.
The Institute’s fingerprint and facial attendance system is separate from Aadhaar/UIDAI authentication and is not linked to the Aadhaar database.
3.5 Biometric Attendance Data
For attendance and access management, we may collect fingerprint data and facial attendance data through the Institute’s own biometric system. We will:
- Inform the student and, for a minor, the parent/guardian about the purpose;
- Obtain separate affirmative consent;
- Restrict access to authorised persons;
- Use the data for attendance, identity verification, access management and related safety/administrative purposes only; and
- Delete the biometric data upon or after completion of the relevant course/batch, unless limited retention is required by law or for a pending dispute/security matter.
3.6 CCTV and Recorded Classes
Our premises may be monitored through CCTV for safety, security, incident review and protection of persons and property. CCTV footage is generally retained for approximately one month and may be retained longer when required for an incident, complaint, investigation or legal process.
Classes, academic sessions, seminars or events may be recorded. A recorded class may capture a student’s face, image, voice, questions or participation. Such recordings may be used for educational delivery, revision, quality improvement, academic support and security/incident review. Promotional use requires the separate media consent described in this Policy.
3.7 Payment and Fee Information
We may maintain:
- Course and registration fees;
- Amount, date and status of payment;
- Transaction/reference details;
- Instalment and outstanding-fee details;
- Receipts and offline payment records; and
- Refund or payment-support correspondence.
Online payments may be processed through Classplus-integrated or other third-party payment providers. We do not intentionally collect or store UPI PINs, card PINs, passwords, OTPs or similar payment authentication credentials on our own systems.
3.8 Device, Website and Application Data
Our website, Classplus-powered application and service providers may automatically process information such as:
- IP address;
- Device, operating system and browser information;
- Login, session and application activity;
- Course access, test attempts and usage logs;
- Cookies and similar technologies; and
- Technical, diagnostic, security and fraud-prevention data.
The exact information collected by an independent platform may also be governed by that platform’s privacy policy.
3.9 Communications, Media and Marketing Data
We may process:
- Calls, emails, WhatsApp/SMS/Telegram messages and app-chat records;
- Complaints, support requests and feedback;
- Photographs, videos, testimonials and event participation;
- Consent and opt-out records; and
- Preferences relating to promotional communications.
4. Sources of Personal Data
We may receive personal data:
- Directly from the student or parent/guardian;
- Through online/offline admission and enquiry forms;
- Through our website or Classplus-powered application;
- From a school/institution involved in an authorised programme;
- From payment, communication, meeting, cloud or technical service providers; and
- From lawful public or official sources where relevant to an application, result, counselling or verification.
Where data is provided about another person, the person submitting it should be authorised to do so and should ensure that it is accurate.
5. Why We Use Personal Data
We may use personal data to:
- Respond to enquiries and provide course information;
- Process registration, verification and admission;
- Create and manage student accounts;
- Provide website, application and course access;
- Allocate and manage courses, batches and timetables;
- Record and verify attendance;
- Conduct classes, tests, examinations and counselling;
- Prepare, analyse and communicate marks, ranks, results and progress;
- Process fees, instalments, receipts and payment support;
- Provide academic, administrative and technical assistance;
- Communicate class updates, schedules, notices and emergencies;
- Operate recorded classes and educational sessions;
- Maintain safety and security through CCTV and access controls;
- Prevent misuse, cheating, impersonation, fraud, unauthorised access and security incidents;
- Share limited information with an authorised school for a relevant programme;
- Send promotional communications where the required choice/consent has been provided;
- Publish media, testimonials or achievements where separate consent has been provided;
- Improve our courses, website, application and services;
- Establish, exercise or defend legal claims; and
- Comply with applicable legal, regulatory, accounting or governmental requirements.
We will seek to collect only data reasonably necessary for the specified purpose.
6. Consent and Student Choices
Where processing is based on consent, the consent should be free, specific, informed, unambiguous and given through a clear affirmative action. Consent for an optional purpose will not be bundled with admission merely because both appear in the same form.
The admission/consent process may therefore provide separate choices for:
- Essential admission and educational administration;
- Aadhaar/identity-document processing;
- Fingerprint and facial biometric attendance;
- Promotional WhatsApp, SMS, email or telephone communications;
- Use of photographs, videos, testimonials, marks, ranks or achievements for publicity; and
- Programme-related sharing with a school/institution.
A person may refuse an optional consent without losing admission or ordinary course access, unless the particular processing is reasonably necessary to provide the requested feature or service.
Withdrawal of Consent

Withdrawal will be made reasonably easy and will not affect the lawfulness of processing already carried out. We will stop the relevant consent-based processing within a reasonable period, unless continued processing is authorised or required by law. Withdrawal of consent for data necessary to provide a requested service may affect our ability to continue that specific service.
Promotional messages may also be stopped by replying “STOP” or contacting the Institute.
7. Privacy of Minor Students
Our services are commonly used by students below 18 years of age. Before processing a minor’s personal data, we will obtain verifiable consent from the parent or lawful guardian where required.
Our verification process may include a signed admission/consent form, parent/guardian mobile number, signature and a valid identity document. We may contact the parent/guardian if further confirmation is reasonably necessary.
For minor students:
- The parent/guardian may exercise privacy rights on the student’s behalf;
- Separate guardian consent will be taken for biometric attendance, Aadhaar/ID processing, optional marketing, publicity/media use and school sharing, as applicable;
- We will not knowingly process a child’s data in a manner likely to cause a detrimental effect on the child’s well-being;
- We will not knowingly undertake behavioural monitoring or targeted advertising directed at children, except to the extent expressly permitted by applicable law; and
- Parents/guardians are encouraged to supervise the minor’s use of online educational services.
8. Classplus and Other Service Providers
Our Institute-branded application and certain course functions are provided through the Classplus platform. Information necessary for account creation, login, course access, tests, communication, payment support and other platform functions may be processed by Classplus/Bunch Microtechnologies Private Limited under its own privacy terms.

We may also use service providers relating to:
- Payment gateways and banking/payment support;
- Google Forms, Google Drive or similar cloud tools;
- WhatsApp Business/Meta communication services;
- Telegram;
- Zoom, Google Meet or similar online-class tools;
- SMS, email and notification services;
- Website hosting, security and maintenance; and
- Technical and administrative support.
We may provide these providers only the data reasonably necessary for the service. Providers may process data under their own terms and privacy policies. Where we appoint a provider to process data on our behalf, we will take reasonable steps to require confidentiality, security and purpose-limited processing.
9. Sharing Information with Schools
Where a student participates in a programme, arrangement or educational activity involving a school/institution, we may share, with separate consent where required:
- Parent mobile number;
- Relevant parent/guardian details;
- Category information relevant to seat/eligibility criteria;
- Marks/results; and
- Attendance.
Such sharing will be limited to the relevant educational, counselling, examination, scholarship, eligibility, safety or administrative purpose. The Institute does not ordinarily share fee status with a school under this arrangement.
10. Other Permitted Disclosures
Personal data may also be disclosed:
- With the student’s or guardian’s specific consent;
- To comply with a court order, lawful government request or applicable law;
- To investigate or prevent fraud, cheating, impersonation, security threats or misuse;
- To protect the rights, safety or property of students, parents, staff, the Institute or others;
- For a legal claim, dispute, audit or professional advice; or
- During a lawful business reorganisation, subject to appropriate safeguards.
We will not rely on a broad or unrelated commercial “legitimate interest” to disclose student data.
11. Marketing Communications
With the required choice/consent, we may send information about admissions, new batches, courses, tests, educational programmes, offers and Institute activities through WhatsApp, SMS, email, calls, app notifications or similar channels.
Service messages—such as class schedules, fee reminders, exam notices, safety alerts and course-access information—are not promotional messages and may continue where necessary to provide the enrolled service.
Promotional consent may be withdrawn at any time by replying “STOP” or contacting us. We will update the relevant preference within a reasonable period.
12. Photographs, Videos, Testimonials and Public Results
We may create or receive photographs, videos, recordings, testimonials, marks, ranks, achievements or other media relating to classes, seminars, events and academic performance.
Use of such material for the website, social media, advertising or general publicity will be based on separate media/publicity consent. For a minor, the consent will be provided by the parent/guardian.
Media consent may be withdrawn through email or WhatsApp. Following a valid withdrawal request, we will stop new promotional use and remove the material within a reasonable period from channels under our control where reasonably practicable. Withdrawal does not invalidate prior authorised use and cannot guarantee deletion of copies independently saved or re-shared by others before removal.
Academic recordings used only to deliver the enrolled course may be treated separately from promotional media.
13. Cookies and Similar Technologies
Our website may use essential cookies for security, login, session management, preferences and website functionality. Service providers may also use technical cookies or similar technologies.
If non-essential analytics, advertising or marketing cookies are deployed, we will provide an appropriate notice and consent/preference mechanism as required by applicable law. Users may also control cookies through browser settings, although disabling essential cookies may affect functionality.
14. Security Measures
We take reasonable technical, administrative, organisational and physical measures to protect personal data. Our present controls include:
- Limiting routine access to the owner and authorised manager;
- Keeping physical admission forms and identity copies in locked storage;
- Protecting online records with passwords;
- Restricting biometric and CCTV access;
- Using access controls provided by Classplus and other service platforms;
- Taking reasonable care when sharing data with schools or vendors; and
- Reviewing and responding to suspected unauthorised access or misuse.
No method of transmission or storage is completely secure. We therefore cannot guarantee absolute security, but we will take reasonable steps to prevent, detect and respond to security incidents.
15. Retention and Deletion
We retain personal data only for as long as reasonably necessary for the specified purpose or as required by law.
- Admission forms, attendance and Institute-held academic/result records: ordinarily removed or securely disposed of within 30 days after completion/closure of the relevant course or batch, subject to a dispute, legal requirement or necessary administrative closure.
- Masked Aadhaar/identity copy: ordinarily destroyed or securely deleted within 30 days after course completion, subject to a pending dispute, fraud/security matter or legal requirement.
- Biometric attendance data: deleted upon or after completion of the relevant course/batch, subject to any short operational closure period or lawful requirement.
- CCTV footage: generally retained for approximately one month and then overwritten/deleted, unless required for an incident, complaint, investigation or legal process.
- Institute working fee records: may be removed or closed with the relevant batch, but limited records may be retained where necessary for a receipt, dispute, accounting, tax or legal requirement.
- Classplus/payment transaction history: course access is disabled at the end of the applicable course. The platform account and transaction or technical records may continue to be retained independently by Classplus, the payment gateway or another provider under its own policy and legal obligations.
- Marketing preferences and consent records: retained for as long as reasonably necessary to honour consent/opt-out choices, demonstrate compliance or resolve a dispute.
Where deletion is not immediately possible in a backup or third-party system, the data may be isolated from ordinary use and deleted in accordance with the applicable system cycle or provider policy.
16. Your Privacy Rights
Subject to applicable law and reasonable identity verification, a student or parent/guardian may request:
- A summary of the personal data being processed and the related processing activities;
- Information about relevant service providers or other entities with whom the data has been shared;
- Correction of inaccurate or misleading data;
- Completion or updating of incomplete/outdated data;
- Erasure of data where retention is no longer necessary or legally required;
- Withdrawal of consent for consent-based processing;
- Stopping of promotional communications;
- Redressal of a privacy grievance; and
- Nomination of another individual to exercise applicable rights in the event of death or incapacity, where this right is available under applicable law.
Requests may be submitted through email or WhatsApp. We may ask for reasonable information to verify the requester and protect the student from an unauthorised request. For a minor, the request should ordinarily be made by the verified parent/legal guardian.
We aim to respond to a valid privacy request or grievance as soon as reasonably practicable and, ordinarily, within 30 days. A deletion request may be refused or limited where retention is necessary for the course/service, a legal obligation, payment/accounting record, safety investigation, fraud prevention or a legal claim. The reason will be communicated where appropriate.
Where the relevant legal provisions are in force, an eligible person may approach the Data Protection Board of India after first using the Institute’s grievance-redressal mechanism.

Privacy complaints should include the student’s name, registered mobile number, a brief description of the issue and the requested resolution. Do not send passwords, UPI PINs, card PINs or OTPs.
18. Personal Data Breach
If we become aware of a personal data breach, we will take reasonable steps to contain, investigate and mitigate it. Ms. Pinki Thakur will coordinate the Institute’s response.
Where required by applicable law, affected students/parents will be informed without undue delay through registered WhatsApp, SMS, email or another effective channel. The communication may describe the nature of the incident, likely consequences, steps taken by the Institute, safety measures the user may take and the relevant contact details. We will also notify the competent authority or Data Protection Board where legally required.
19. Processing or Storage Outside India
Some third-party providers, including global cloud, communication or meeting services, may process or store data in India or other countries. Any such transfer will be subject to applicable Indian law and the provider’s security/privacy terms. Where a legal restriction applies, we will take reasonable steps to comply with it.
20. Third-Party Links and Independent Services
Our website, application or communications may contain links to independent third-party services. Their data practices are governed by their own policies. We are not responsible for the privacy or security practices of services outside our control, but we encourage users to review their policies before providing data directly to them.
21. Changes to This Policy
We may update this Policy to reflect changes in services, technology, data practices or law. The revised version will display a new “Last Updated” date.
For a material change, we will provide reasonable notice through the website, application, WhatsApp, email or another effective channel. If we propose a new purpose that requires consent, we will seek fresh consent before beginning that processing.

23. Acknowledgement
By registering, applying for admission, enrolling in a course or using our services, a user acknowledges receiving and understanding this Privacy Policy. Acknowledgement of this Policy is not, by itself, blanket consent for optional marketing, publicity/media use, biometric attendance, Aadhaar processing or school sharing. Those choices will be obtained separately where applicable.
For a minor student, the required choices and declarations will be completed by the parent/legal guardian.
